Last month, a founder DMed me a Notion database with 3,287 AI prompts.

He said, “I just need to find the right one.”

I asked, “Have you actually used any of them more than once?”

He paused. “Not really.”

Here’s how to stop drowning in prompt overload and build a system that thinks like you:

✍️ 1. Find Your Prompt Patterns

Reflecting for the purpose of finding patterns is one of the greatest hacks in life, yet almost nobody takes the time to do it. (the ones that DO, usually win)

Look at your last 10 AI wins. (aka - those conversations that actually ended up being very helpful and giving you exactly what you were looking for)

What do your best prompts have in common?

  • Were they conversational?

  • Process-driven?

  • Reflective or directive?

Mine are structured like conversations with a strategist—because that’s how I think.

You might approach it different, and that’s ok.

Step 1 is to become aware of that.

🧱 2. Create 3 Reusable Prompt Templates

Build your Prompt OS around 3 buckets:

  • Think → For decision-making, clarity, and strategy

  • Build → For execution (emails, outlines, systems)

  • Reflect → For journaling, insight extraction, planning

Use this for decision-making, clarity, and strategy.

“You are my strategic advisor. Help me evaluate [specific decision or idea] by identifying 3 pros, 3 cons, and 1 hidden risk I might not be seeing. My current context is: [describe situation]. My top priority is: [goal].”

Great for:

  • Evaluating AI tool investments

  • Business model pivots

  • Leadership decisions

  • When clarity feels murky but action is needed

🛠 BUILD Prompt Template

Use this for creating content, systems, or assets that move the business forward.

“You are my content strategist. Help me draft a [type] that does [goal], using my voice which is [describe your tone]. Based on this context: [paste input].”

Great for:

  • Emails, landing pages, offers

  • SOPs, outlines, automation instructions

  • Getting from messy input → finished asset

🔍 REFLECT Prompt Template

Use this for journaling, post-mortems, or pulling lessons from chaos.

“Act as my clarity coach. Based on this reflection: [paste journal entry, challenge, or event], help me identify 1 core lesson, 1 behavior pattern, and 1 reframe that would help me grow. Keep it thoughtful but actionable.”

Great for:

  • End-of-day or end-of-week reviews

  • Processing difficult decisions or feedback

  • Turning lived experience into leverage

Pro tip: Save these 3 templates in a Notion doc, Obsidian vault, or even as pinned messages in ChatGPT.

Refine them over time.

These become your mental OS—one prompt at a time.

Use a simple system (Notion, Obsidian, or even a Google Doc) to store your 3–7 go-to prompts.

Run them often.
Edit when stuck.

Signal over novelty.
