Here’s how to go from brain to system without the burnout:

Step 1: Voice Memo the Task

While doing the task, narrate what you're doing like this:

  • “I open this folder first to check yesterday’s numbers…”

  • “I write the intro before I look at data because it helps my tone…”

  • “I always ask this question before sending the pitch…”

Keep it raw, natural, and full of personal quirks. That’s the gold.

Use: Voice Memos app, Loom, or Brevity

Step 2: Transcribe + Prompt ChatGPT

Drop the transcript into GPT and ask:

“Turn this into a repeatable SOP using my tone. Structure it as a checklist with clear steps and reminders for consistency.”

Then refine:

“Add a ‘Why this matters’ explanation at the top.”
“Highlight steps that should not be skipped.”
“Turn it into a shareable Notion format.”

Step 3: Save as a Living SOP

Don’t call it done. Call it Draft 1.0.

  • Label with: Task name + Owner + Outcome

  • Review it quarterly (or after 3 uses)

  • Keep it where your brain would look for it (Notion, Airtable, even Google Docs)
