If Everyone Has Admin, No One Has Security

Admin is not a perk, it’s a liability

Admin access is like giving everyone a master key.

It feels efficient—until something goes wrong.

Because when everyone has admin:

  • settings drift

  • automations get edited

  • billing changes happen

  • data gets exported

  • accountability gets blurry

And the worst part?

It usually happens with good intentions:
“Just give them access so they can move faster.”

Rule: Speed without boundaries is just risk with better branding.

I once asked a founder a simple question:

“Who has admin access to your core tools?”

The 12-Minute Access Audit (Do This Today)

Pick your top 5 tools (the ones that would hurt if they broke):

  • email platform

  • CRM

  • website/domain

  • payment processor

  • automation tool (Zapier/Make, etc.)

Then do this:

Step 1: Export the users list

Look at: roles + last login + email domains.

Step 2: Tag each person as: KEEP / DOWNGRADE / REMOVE

  • KEEP = truly needs it

  • DOWNGRADE = can do their job without admin

  • REMOVE = not active, old contractor, former employee, duplicate accounts

Step 3: Kill “shared logins”

If multiple people share one login, you have:

  • no accountability

  • no clean offboarding

  • no way to control access

Fix: individual logins + roles.

Step 4: Update the “break glass” plan

Write one note:

  • who owns account recovery

  • where MFA codes/backups live

  • what happens if the owner is unavailable

This isn’t paranoia.

This is what makes the business survive you.
