Picture this. I just wrapped a 45-minute call with a warm prospect. Good energy, real questions, a clear next step buried somewhere in the middle.

Use this structure: 1) one-line thank you that references something specific they said, 2) a 3-bullet recap of what we agreed on, 3) clear next step with a date, 4) a soft question that invites a reply. Tone: warm, direct, no fluff. Notes: [paste]."

The "something specific they said" line is the magic. It signals you actually listened. That's the trust unlock.

Template 2: Internal / Team Follow-Up

"You're my chief of staff. From the notes below, draft a recap in this format: Decisions Made (bullets), Owners + Deadlines (table with Name, Task, Due Date), Open Questions (bullets), Next Meeting (date and goal). Keep it scannable. No commentary. Notes: [paste]."

Internal recaps live or die on ownership clarity. Every task needs a name and a date next to it. No name, no movement.
